We appreciate your participation in the upcoming 2024 New York International Automobile Show.

We have compiled this Exhibitor Manual to assist you in the preparation, installation, running, and removal of your exhibit at the Show. Detailed information is included to facilitate your set-up, including order forms for any services or materials you may need. Please complete appropriate forms for your various needs and return them to suppliers as soon as possible to take full advantage of advance order discounts. This, too, will ensure timely fulfillment of each service and/or material order as well as the preparation of credentials for your staff working within your exhibit.

Building Height Rules & Regulations

These Building Rules and Regulations apply to both Level Three (3) and Level One (1), unless otherwise specified. Show Management reserves the right to determine the appropriateness of exhibit design, structure and layout that is in the best interest of the show and of other exhibitors and attendees.

When reviewing floorplans, it is the intention of show management to consider all displays and exhibits on their own individual merit. Also considered is the impact on the movement of show visitors, visibility, egress and access to adjacent exhibits and the overall show.

Set-back and Height Restrictions

1. Level Three (3) Exhibits: All displays, partitions, walls and exhibit materials, must adhere to the following set-backs inclusive of any border egress. All egresses are to remain free and clear of any exhibit materials, raised flooring and/or vehicles.

  • Within 5 feet of the border the height may not exceed 5 feet*
  • Within 10 feet of the border the height may not exceed 10 feet*
  • Within 15 feet of the border the height may not exceed 15 feet*
  • Within 20 feet of the border the height may not exceed 20 feet*

The maximum height of any floor display is 20 feet. Within the low ceiling area of the 400 aisle there is a maximum height of 12 feet. Any variances to these height restrictions must be approved in advance by Show Management. Any identification (I.D.) towers within 5-feet of any exhibit border, inclusive of any border egress, exceeding 10-feet in height must be approved in advance by Show Management.

2. Level One (1) Exhibits: All displays, partitions, walls and exhibit material, must adhere to the following set-backs inclusive of any border egress. All egresses are to remain free and clear of any exhibit materials, raised flooring and/or vehicles.

  • Within 5 feet of the border the height may not exceed 5 feet*
  • Within 10 feet of the border the height may not exceed 10 feet*

The maximum exhibit height in the 1100-1400 aisles in Hall 1C is 16 feet and in the 1500-1700 aisles the maximum height is 14 feet. Exhibitors should note that there is an acoustical drop ceiling in the 1500 and 1600 aisles.

Any identification (I.D.) towers within 5-feet of any exhibit border, inclusive of any border egress, exceeding 5-feet in height must be approved in advance by Show Management.

Double Deck Booths (Level 3 Only)

  1. Exhibits with a second level or double deck, will only be approved for Level 3 in booths that are located on the perimeter of the hall. (North, South and West sides) All double deck booths must have advance show management approval along with the required NYC Agency approvals and permits.

Walls and Partitions

  1. Any display, partition, wall or exhibit material higher than eight (8’) feet supported from the floor or hung from truss or the ceiling, blocking the movement of show visitors and/or site lines may not exceed 60% of the length of any exhibit border. Should any display, partition, wall or exhibit material be continuous to an adjacent side, the length of each side may be no more than 45% of the total length of each exhibit border unless approved by show management. Any wall, partition or exhibit that is greater than 40% of the length of that side must have one (1) opening that is ten (10) feet wide to allow for the visibility of an adjacent exhibit or be granted a variance by show management. Outer perimeter exhibit spaces on the east, south and west sides of 3E and the east, north and west side of 3A and 3B may be excluded with prior approval by Show Management, Javits Center and the Fire Marshal.
  2. Exhibitors occupying outer perimeter exhibit spaces will be allowed, with prior Show Management, Javits Center and Fire Marshal approvals to construct 20 foot high outer perimeter walls, provided that the walls are not nearer than 10-feet from any border, inclusive of egress.
  3. Exhibit spaces on the West wall of either level three (3) or level one (1) whose exhibits contain back-walls must have openings for emergency egress at least every 30 feet or the approval of Show Management, the Javits Center and the Fire Marshal to do otherwise.
  4. All display properties, walls and partitions facing a public area, aisle or adjacent exhibitor must be appropriately finished on that side and all copy or branding be shown on all floor plan elevations for review at floor plan meetings.

Raised Flooring

  1. Exhibitors along the west side of level three (3) may not build or extend raised flooring or ramping into the 20-foot egress along the west border of their exhibit space. Booths on the west wall of level 3 having raised flooring must provide ramping or egress at the openings on the west side of their display.
  2. Exhibitors with raised flooring are required to provide access ramp(s) that meet ADA Standards. These ramp(s) must be incorporated within the footprint of the booth, not including egress. Ramping is required at a ratio of 1:12. A height increase of 1” requires ramping of 12” to reach that height. The usage of any railings must be contained within the booth and not extend into an aisle or easement.
  3. Exhibitors with raised flooring that does not have railings or ramping and is open to public access MUST CLEARLY INDICATE HEIGHT CHANGES with either signage, lighting, textured flooring or highly visible materials.
  4. Ramping may not extend into any easement. Exhibitors must provide detailed information on the floor heights along with the slope of all ramping and clearly indicate ramping locations on all floor plans submitted for approval.
  5. Exhibitors with a shared booth border that has a raised floor must either meet adjacent exhibitor’s raised flooring at the same height or end their booths so that there is no safety or tripping hazard. This must be clearly identified on all floor plans and discussed at floor plan meetings.

Hanging Signage

  1. All hanging signs and banners must be submitted in advance for review and approval by show Management. Plans should indicate all dimensions, trim height, and OAH.
  2. Hanging signage below 14 feet must adhere to the set-back regulations previously specified and be called out on all floor plans.
  3. Hanging corporate ID or Logo signs must be approved in advance by Show Management. All Logo signs must be at least five (5) feet from a main aisle and ten (10) feet from an adjacent exhibit unless otherwise approved by Show Management.
  4. Any signage hanging directly over floor based displays, walls or partitions that might obstruct the visibility of an adjacent exhibit will be required by Show Management to provide an opening between the top of floor based materials and the lowest point of the hanging property. At no time will the complete blockage of an adjacent exhibit be allowed and exhibitor may be required to reduce the length of display to allow for additional visibility.

Javits Center Columns and Signs

  1. Exhibitors framing off building columns within their display that contain Fire Hose Valves (FHV) or Fire Extinguishers (FE) must make sure that they are fully accessible at a minimum width of five (5) feet. Exhibitors MUST replace all obstructed FHV, FE and EXIT signage with supplemental graphics of a comparable size and illumination. All FHV, FE and Exits must be clearly marked.
  2. Exhibitors framing off building columns located within an aisle that are not part of their exhibit space must have prior approval from Show Management, the Javits Center and the Fire Marshal to house electrical, sound or lighting materials in these locations. Only hard wall, MIS or stretch fabric will be allowed to mask these columns. Pipe and drape will not be allowed.
  3. Exhibitors framing off columns within their displays which have permanently mounted security cameras, must submit detailed floor plans and elevations for review and approval. These column covers must not be higher than 16’ 4” or 2’ feet below each camera and must allow for a minimum clearance of 2 feet on all sides of the camera. The vertical plane of the wall below each camera must not extend more than 18” beyond the edge of the column underneath the camera. Most cameras are mounted at 18’ 4” from the floor. A diagram of a typical column and column cover is included with these Rules and Regulations.
  4. Permanent Exit Signage of the Javits Center that is obstructed by exhibit display walls, signage or any other exhibit materials, must be replaced with supplemental signage of the same size and type. All exits must be clearly marked.

Wall Space on East and West Perimeter Booths Level 3

  1. Exhibitors on the west side must have prior Show Management and Javits approval for the use of any space in this area for either press and/or the public days of the show. OEM’s using this space for the public days of the show will incur exhibit space rental fees for the used area. The areas on the east side of level 3 is not approved for usage in 2023.
  2. All perimeter space must be enclosed with hard wall structures only and may not be draped at any time.
  3.  Exhibitors approved in advance to use areas on the west side of level 3 for product or technical usage will have the approved area clearly marked and will be required to contain the area with hard wall structures. Black Drape will be required for any overhead perimeter masking which may be obtained from Freeman.

Sound/Lighting and Presentation Requirements (waived during Press Days)

  1. Exhibitors must design all sound and lighting equipment so as to focus the projection of music, presentations and lighting effects within the confines of their exhibit space. The February floor plan meetings will include the presentation of rigging details as it relates to interference with adjacent exhibitors.
  2. The show will consider using an industry standard 85 dB as the required sound level and will monitor both the volume and frequency of presentations and if necessary have either reduced if offensive in content, volume or frequency.

*Show Management may determine any exceptions to these set-backs that are in the best interest of the show and other exhibits.

Definitions

  1. Outer Perimeter Exhibit Spaces – Any exhibit space that borders on the West (back), North (39th Street) and/or South (34th Street) walls of the Javits Center.
  2. Fire Egress – Any area designated as an egress that is shaded grey on the Official NYIAS Floor Plan must be kept clear and unobstructed.
  3. Exhibit Border – Where an exhibit space abuts or shares a common border with another booth or an aisle.
  4. Aisle – Any area required between exhibit spaces and carpeted by Show Management.
  5. Outer Perimeter Wall – Any wall and/or partition built parallel to the outer walls of the Javits Convention Center.

Use of Aisle & Wall Space

For the 2024 New York Auto Show exhibitors will not be allowed to use adjacent aisle/egress areas as extensions of their display spaces.

Exhibitors will be required to carpet the aisle/egress within their booth. No exhibit properties or vehicles may be placed in these areas. Raised flooring must be approved on a case by case basis and may require the exhibitor to follow specific rules pertaining to fire egress issues. If non-branded covering is used on the back west wall or forward to the east wall without additional graphics, there will not be a charge for use of the wall, but must be approved by Show management. However, if any graphics are applied or used on the covering/wall then the charge would be width x height x $5.13 sq. ft. on level 3 and x $5.08 sq. ft. on level 1. The minimum height of the area will be charged at 10 feet and the width will be the length of that side of the booth.

If #502 put up graphics on level 3 in the vertical display space on the back west wall of the convention center, the additional charge would be 114’ x 10’ x $5.13 = $5,848.20. If #502 put up covering, but no graphics, they would not be charged.

Move-In/Move-Out Information

Full move-in/move-out details can be found in the Complete Exhibitor Manual.

  • Level 1 & Level 3 Exhibitors Move-in will be targeted according to space position on the exhibit floor.

    • Dismantling will begin after 7:01 pm on Sunday, April 7. All vehicles must be removed from Level 3 and Level 1 by12 midnight, Sunday, April 7.

    • Move-in:  Friday, March 29, 8:00 am – 5:00 pm
    • Move-out:  Sunday, April 7 7:01 pm – 12:00 midnight
      Monday, April 8 12:01 am – 4:00 pm
      Level 4 outbound materials: if weight is less than inbound, inform T3 Expo desk in the Crystal Palace by Sunday, April 7 to weigh outbound materials.  

Javits I.D. Policy for Exhibitor Appointed Contractors (EACs)

In accordance with Javits policy, approved managers and supervisors of Exhibitor Appointed Contractors (EACs) will be issued a Javits Center I.D. card which they are required to wear at all times in a visible location. Violation of this policy may result in revocation of their authorization and could also result in the revocation of the company’s approval to conduct business at the Center. 

The Javits Center policy for all labor, contractors, and contractor personnel supervising labor (with Javits Center issued I.D.s) is to check-in and enter through the Administrative & Labor entrance at 655 West 34th Street.

Starting on March 29, EAC personnel may enter through the front of the building from 11th Ave. with their NYIAS-issued Exhibit Company credential.

Exhibitor Booth Staffing Requirements

OEMs, EXHIBIT COMPANIES, AND PRODUCT SPECIALISTS

All exhibits must be fully staffed with booth personnel and security (where applicable) during press days & show hours.

Press Day 1 – Wednesday, March 27

The NYIAS Press Breakfast and WCOTY will lead off the Press Conference schedule for the New York International Automobile Show starting at 7:45am. Press Conferences are scheduled to run until 5:00pm. All booths must be staffed during these hours. Dismantling of press conference sets may begin after 6:00pm.

Press Day 2 & Dealer Preview – Thursday, March 28

Day 2 will begin with press conferences beginning at 8:00 am and will run until 3:00pm. The exhibit halls will be open for the working media until 3:00pm and then reopen for the Dealer Preview, and OEM Special Events from 4:00pm -10:00pm. Please plan any of your dealer events for this evening. All exhibits must be fully staffed with booth personnel and security (where applicable) through 10:00pm. Dismantling and booth change-overs will not start until 11:00 pm.

Public Days (Friday, March 29 – Sunday, April 7)

Private Tours/Early Access Entry will enter the exhibit halls one hour before official show opening at 9:00am on Friday, March 29th and April 5th and Saturday, March 30th and April 6th. The Exhibit halls will open to the general public from 10:00am until 10:00pm on Monday-Saturdays and 10:00am until 7:00pm on Sundays. RIVER PAVILION EXHIBITORS

  • The River Pavilion opens to the general public Saturday, March 30, 2024.  All exhibits must be fully staffed with booth personnel during show hours.

Show Hours: Monday-Saturdays 10:00am -10:00pm, Sundays 10:00am until 7:00pm.

Delivery of Literature to Exhibitor Booth

Bulk Delivery From Storage Area to Exhibitor Booth

1. Deliveries of exhibitor literature from storage areas on the show floor perimeter, storage rooms or loading dock shall be done by Teamsters. Please place order for delivery service on a daily basis with the T3 Expo Service Desk.

2. After literature has been delivered to the booth, the exhibitor or Journeyman Carpenters or Carpenter Apprentices may move literature within the booth space and stock the distribution bins and shelves.

3. Literature must be stored out of view and may not interfere with neighboring display booths. Please consider this when ordering literature for your display.

Straight Time Shifts

Jacob K. Javits Convention Center and T3 Expo will be providing labor, both carpenter and rigging services for the following straight time shifts:

Monday thru Friday
8:00 a.m., 12:00 p.m., 5:00 p.m., and 8:00 p.m.

Monday thru Friday straight time shift availability requires a forty-eight (48) hour notice and availability of man power. Every effort will be made to meet any special requirements as long as appropriate notice is given.

Exhibitor Badge Registration

The New York International Auto Show is going digital! NO BADGES will be printed on-site. Exhibitor personnel will receive their digital badge via e-mail.

Key Contact(s) has two options within the Group Registration Portal (GRP):

  1. Enter a unique e-mail address for each person working at the Auto Show. Their digital badge will be sent directly to each individual from the GRP.
    • Please NOTE: some corporate servers have firewalls that block e-mails from unknown sources. Be sure that your system will allow receipt of e-mails from NYIAS 2024 Registration (nyauto24-reg@cteusa.com).
    • Otherwise, use a personal e-mail address that goes to a recognizable account. For example, to accounts ending with: @aol.com, @gmail.com, @icloud.com, @verizon.net, etc.
  2. Enter one e-mail (preferably, their own) for everyone. The Key Contact takes responsibility for distributing each person’s digital badge to them. Digital badges can be re-sent by the Key Contact if lost or accidentally deleted.

All digital badges will come from “NYIAS 2024 Registration (nyauto24-reg@cteusa.com)”. Be sure to check your SPAM/JUNK folder if you cannot find it in your In-Box.

Digital badges will be scanned at the Exhibitor/Show Entrance each time your personnel enter.

ENTERING/EDITING/USING BADGES

No Badges will be mailed/printed on-site. ALL badges will be digital and sent to each individual by their respective Key Contact. 

  • If the Key Contact will be attending the Show, make sure that you enter your Key Contact name as one of your registered personnel with corresponding badge type. Key Contacts do not automatically get a badge.
  • You can enter your group of personnel using this Portal. You will be able to enter/remove/edit people on your list throughout the Show.
  • Each person will be issued ONE badge for access for all days that the badge is valid. A person registered for Exhibitor access will receive one badge that they can use throughout the Show. Industry personnel and executives who will only be there on Media & Industry Days will be issued an Industry badge that is valid March 27 & 28 ONLY and will expire at 5 p.m. on March 28. Please read Badge Type descriptions carefully for specific access information.
  • You will NOT be able to delete a person’s registration once a badge has been e-mailed to that person. Please be sure to confirm each person’s attendance/role at the Show before e-mailing their badge.
  • Badges are specific to each individual. Exhibitor personnel will need to show a photo ID as they enter the Show each day. This is to make sure that the name on the badge matches the name on the ID. Digital badges will be scanned at the Exhibitor/Show Entrance each time your personnel enter.
  • You (as Key Contact) will designate the dates that the badge will be valid for each person. Your choices will be listed in the Portal with a detailed description of each. When you enter a name, you will choose from a list of access options. Please review the information before selecting a badge type.
  • Exhibitor – Manufacturer (valid ALL days) is limited to 75 badges per space from all sources (i.e., Key Contacts, EACs, Marketing agencies, product specialists, etc.).
  • Exhibitor – Non-Manufacturer (valid ALL days) is limited to 15 badges per space from all sources (Key Contacts, temporary staff, specialists, etc.).
  • The Portal keeps a count of how many Exhibitor codes have been used so you can easily keep track. In the Portal, if there are multiple Key Contacts drawing from that same allotment, you will be able to see a list of all people who are using your company’s allotment and who submitted each name. This is to help avoid duplication.
  • Each person will only need ONE digital badge. There is no need to register separately for Media & Industry Days and Exhibitor… just choose the badge type that applies to each person.

All Access Card Request Exclusively for OEMs

Special All Access Cards will be available to facilitate exhibit hall access for executives, management, and key exhibit personnel.  These should be distributed carefully and given only to those individuals that will need special access during move-in, media days and public days.  NOTE: The individuals receiving these cards MUST also be entered into the Group Registration Portal as an Exhibitor, Exhibit Company or as an Industry registrant.

ALL ACCESS cards can be mailed to you before the Show or available for pick-up on-site in the Show Office (Level 4 Suites) by you or the person you designate.
